Six things to know chats in Microsoft Teams

Chat is at the center of whatever you do in Teams. From individual chats with just one other person to group chats and conversations in channels—chat has you covered. Here are the top six things to know about chat:
  1. Chats can be one-on-one or in a group.
  2. Press Shift+Enter to start a new line.

  3. Select Format to see all your formatting options.

  4. Chat happens in channels, too.

  5. There are a few ways to search for and find messages.

  6. Hide or mute chats to keep them out of your way.

Uploading a file in Teams

On a previous blog we talked about collaborating and working a file together.  Maybe what should have come first is how to get the file in Teams in the first place.

Well today we would like to share how to do just that...

Anywhere in Teams, look for the paperclip icon Select to attach a file. to Attach a file. Alternately:

  • Go to the Files tab.

  • Select Upload.

  • Select single or multiple files from device computer or OneDrive for Business account.

  • Select Open.

Pinning chats and channels

Pinning may not be new to some of you, but this is a useful function in Teams for keeping those items you use often near the top of the list.

On either the channel or on a chat, simply select the elipses "..." and then select Pin from the menu provided and this will ensure that the item selected then stays at the top of the list for easy access. It should be noted you can pin a "Team" but can pin the channel within a team.

This is really useful when working on particular project that you want easy access to.  Once the project is over, simply "unpin".  This will move it back to the normal location on a list.

Teams tips

We see an ever increasing use of Microsoft Teams within the Salvation Army, and we are excited at the various possibilities of its use for collaboration in the workplace, and success in the delivery of our mission (to care for people, transform lives, reform society).

There have been a number of tips already provided through this blog on useful features in Microsoft Teams and you can search the blog for these.

However as is common with all things IT, features are often getting updated and its hard for us to keep this information up to date.

However, we have good news.  If you want to know more of what's available in Teams, or need a training video on what's available in teams, you already have this accessible to you.

When the Teams app is open on your screen just click on the "?" on bottom left corner of the window...

That will give you some options...

Selecting Topics will give you a list of various features you can choose to read how best to use them. Selecting Training will provide with a list of short videos where you can see how to perform certain tasks (working in Teams and channels, uploading files, managing chats and calls, etc).  Really useful when you have a few minutes spare in your day to watch and learn how to best use the tool that you have at your disposal.

Over coming weeks, we will highlight some of the ones we believe will be useful to you, but don't wait for us to show you.  Take the opportunity to learn from here.

Sharing and permissions for Groups or Contacts is best advised by contacting the ISG Service Desk and explaining what you wish to achieve.

365 is very slow and clunky (moving folders from the G drive to One Drive was problematic and incomplete), so I have continued using the Google drive until things speed up. I only have an E1 license. Can you tell me if it is slow because I am E1, or because things haven't fully transitioned 

  

 

The speed of Office365 is primarily dependant on your internet connection as everything is online cloud based.

Please contact the ISG Service Desk if this issue persists. However, ISG will be dealing with file storage as Phase II of the Office 365 project. Currently we recommend you continue to use your current file storage ie. Google Drive or Centre Server.

A prompt to save using One Drive keeps popping up - are we supposed to be using this yet?

  

 

OneDrive is not being actively used at this time.  Please continue to use your current file storage ie. Google Drive or Centre Server.

Microsoft File Storage and the move of all TSA documents to cloud storage will occur as Phase II of the Office 365 project at which stage, ISG will liaise with each centre to ascertain needs and scope of the change.

Contacts in address book not receiving emails, I'm getting a message saying the format of the email is incorrect or a reply message that it was undeliverable - even though it is the address that has popped up for me to use.

To open the Territorial Calendar:

 

E3 licences, go to your calendars then click Open Calendar in the top menu then From Address Book then search for Territorial Calendar, double-click it then click OK. The calendar will display on the left in your Shared Calendars List.

 

E1 licences, go to calendars and the Territorial Calendar is already in your list of People's Calendars on the left

Office 365 & Teams Tips & Tricks #8

This weeks ISG Tips & Tricks continues to inform THQ,  Central, Southern and Northern Divisions and welcomes those in Midland to Office365

Fiji joins Office365 next week and BCM mid October completes the rollout for the Territory.

 

 

Set your calendar to correctly display your work times, days of week and week start date. 

 

 

Outlook defaults to 8am-5pm work times, Mon-Fri as work days and Monday as the first day of a week. Changing these forces your calendar to display your calendar slightly differently and also alerts others if they try and book a meeting with you on a non-working day for us Part Timers.

 

For E1, click on the Settings cog icon at the top right then search for Calendar Appearance and change the settings on this page.

 

For E3, click on File at the top left then Options then Calendar and change your settings on this page.

Office 365 Tips & tricks #6

 

 

 

Get rid of those incorrect email addresses that keep appearing when creating email. 

 

 

When typing in the To, CC or BCC fields, Outlook tries to help and suggests addresses you have used before. This is great except where you may have mis-typed an address.

To remove an address, once Outlook displays it as a suggested address, hover your mouse over it then click the X on the right.

Time to reboot!

We are aware of a number of Salvation Army machines that are simply 'screen locked' at the end of each day, and then unlocked ready for the next day's work.  This also relates to laptops being put on "hibernate" or "sleep" mode. It is highly recommended that machines are rebooted regularly (that is to shut it down and then restart) to ensure a number of tasks can be completed with your computer.  The reasons for restarting your computer are:

  • If your computer is running slow
  • If the device feels very hot
  • The fans inside the machine are making an excessive amount of noise
  • After a software update
  • After any type of installation

Also, note if you develop the regular habit of shutting down your computer at the end of the day the action of restarting your computer will be needed less often.

The benefits for this are:

  1. Flushes RAM - RAM stands for Random Access Memory and is your computer’s main type of memory. RAM handles short-term tasks and data. Therefore, when you restart your computer, you flush out all the random, unimportant, and temporary data bogging down your device.
  2. Fast Performance - Reboots are known to keep computers running quickly. 
  3. Stops Memory Leaks - These occur when a program doesn’t close properly. Many programs borrow your computer’s RAM while open then return it when you close the program out. However, outdated, overused or glitchy programs may end up forgetting to return that memory, resulting in memory leaks. Rebooting can help prevent memory leaks from occurring.
  4. Fixes Internet Connection - Sometimes computers lose their connection to the Internet and will need to be reset. The first plan of action is to restart your computer. Restarting will reset the connection. However, please note that if restarting your computer doesn’t solve your connectivity issues, you may have to reboot your router or require further servicing.
  5. Saves Time - Rebooting your computer is one of the quickest ways you can fix an error with your machine. By restarting, you can avoid sacrificing time out of your work day to call tech support. You will also be saving time that could be potentially wasted on future device sluggishness or potential bugs.
  6. Saves Money - By restarting your computer when appropriate you are taking preventative action. You are not only saving yourself time but the cost of tech support and further maintenance. When you save time, you save money. If you ignore needed reboots damage can be done to your machine, and in worst case scenario, you save your wallet from buying a whole new computer.

If you do find that a restart does not fix your issue, there may be something more critically wrong with the device.

Note that restarting your machine is only a temporary fix too. If symptoms become a recurring issue, there could be a much larger problem and the device will need further servicing.  In these cases feel free to contact the iSG Team who are always happy to help.
