Upcoming changes to your emails

As we all continue to work towards protecting the Salvation Army data and its networks, ISG will be implementing a change to incoming emails known as an external email banner or external email warning.  This system helps to alert users from clicking on malicious links, phishing emails sent by external senders.  It plays a vital role in protecting against spam and phishing threats.

What this means is that from Friday, 11 June, any emails received from senders outside of TSA NZFTS territory will contain a banner at the top of the message.  The purpose of this is to remind email users to be cautious of opening attachments or following links from external contacts, helping reduce the threat of phishing and malware.

On the Outlook client, the banner will look similar to this:

 

This banner will also appear in your Inbox on your mobile and will be similar to this:

Please note, that this will be for all emails sent from outside our Microsoft tenant (which includes other TSA territories).  It may also appear on emails that are created from within TechOne too.  The important matter is to pay attention to the banner and IF you are not expecting the email and it contains links, then check with the sender (if you know them) before proceeding.

Phishing and scams

This is just a friendly reminder to be wary of unexpected emails received, particularly from unknown users.

There continues to be a number of emails that are arriving in users Inboxes that are scams, or attempts at phishing information.

A recent one received within our organisation appeared to be an invoice with a pdf attachment.  Fortunately the user was suspicious of this because they were not aware of an impending bill and did not recognise the user.  When looking even more closely, the pdf attachment was not an attachment at all, but simply a link as per the picture attached below

The easiest way to check on such things is to allow your cursor to hover over the link, or the "attachment". The link will automatically appear either over the "link/attachment" or at the bottom of the window as per this picture

Reporting Spam

Microsoft can analyze dangerous emails to determine why those messages made it past your spam filters.

When you receive an email that you find suspicious - potentially a phishing email - so you ignore or delete it.  Another option is to report the email to Microsoft for analysis using a free Microsoft add-in for Outlook called Report Message.  You can also use it to report a "false positive," meaning a legitimate email that was incorrectly identified as spam. Microsoft analyzes such messages to improve its spam filtering technology.

The add-in works with desktop and web clients, though the install is different.

If you use both clients, installing in one will make it available in the other however:

Installing for desktop

From your Inbox, select the Home tab then click on the Get Add-ins button

This opens the Add-ins window. In the search box type ‘report message’ as in the screenshot.

Select the Report Message add-in and install it.


For web client

From your inbox , select a message and from the right hand side of the message window click on the three dots

Scroll down to the bottom of the menu that appears and select ‘Get Add-ins’

Install is the same as for desktop client.

 

Using Report Message

Desktop – Select the message , then click on the ‘Report Message’. From the menu select an appropriate option. 

Web – Select the message , then click on the three dots in the message window and select ‘Report Message’ from the menu. Select an appropriate option.

Cortana daily briefing email

You will have recently started receiving the Cortana daily briefing emails.

The Briefing email helps you stay in control of your calendar and be intentional about your day. Within two hours of your workday (as set up in Outlook), you'll get an email about any relevant items to help you better prepare for the day ahead, including:

  • Outstanding commitments, requests, and follow-ups to and from other collaborators in email that might have fallen through the cracks.
  • Documents related to today’s meetings that you might want to review beforehand.
  • Suggested focus time you can schedule to help get independent work done.

Using Apps in MS Teams

View your apps

Select More apps More options button on the left side of Teams. Here you'll find:

  • Your personal apps. Any app you've added that offers a personal view or workspace.

  • Your team apps. Apps that have been added by your IT admin or a coworker for the teams you're in.

  • Custom apps you've uploaded. If you're a developer and have uploaded custom apps, you'll see all those here, too.

Whenever one of your team apps has something new to tell you, a red number shows up next to the app icon, letting you know how many notifications you have.

More apps

View apps for a particular team

Find the team name, then click More options More options button > Manage team > Apps.

You'll see the apps added for your team, and you can delete and add apps from this screen, too!

Haven't added any apps yet? 

Go to Apps  Store button in the left side of Teams and browse what's available. Please note, some apps require you to login with account credentials.

Six things to know chats in Microsoft Teams

Chat is at the center of whatever you do in Teams. From individual chats with just one other person to group chats and conversations in channels—chat has you covered. Here are the top six things to know about chat:
  1. Chats can be one-on-one or in a group.
  2. Press Shift+Enter to start a new line.

  3. Select Format to see all your formatting options.

  4. Chat happens in channels, too.

  5. There are a few ways to search for and find messages.

  6. Hide or mute chats to keep them out of your way.

Uploading a file in Teams

On a previous blog we talked about collaborating and working a file together.  Maybe what should have come first is how to get the file in Teams in the first place.

Well today we would like to share how to do just that...

Anywhere in Teams, look for the paperclip icon Select to attach a file. to Attach a file. Alternately:

  • Go to the Files tab.

  • Select Upload.

  • Select single or multiple files from device computer or OneDrive for Business account.

  • Select Open.

Pinning chats and channels

Pinning may not be new to some of you, but this is a useful function in Teams for keeping those items you use often near the top of the list.

On either the channel or on a chat, simply select the elipses "..." and then select Pin from the menu provided and this will ensure that the item selected then stays at the top of the list for easy access. It should be noted you can pin a "Team" but can pin the channel within a team.

This is really useful when working on particular project that you want easy access to.  Once the project is over, simply "unpin".  This will move it back to the normal location on a list.

Microsoft Teams and PRIVATE channels

If you need to have focused, private conversations with people on your team, create a private channel. Most channels are standard ones — everyone on the team can see them as well as view and participate in conversations, share files, and more.  With a private channel, members of a team must be specifically added to it to participate, see content, and to see the channel appear in their list of channels.

Note: Team owners can create private channels, and allow members to create them. Whoever creates a private channel can add people to it.

Create a private channel

  1. Go to a team you want to create a channel for, select More options > Add channel.

  2. Type a name and description.

  3. Under Privacy, select the down arrow and choose Private - Accessible only to a specific group of people within the team.

  4. Select Next.

  5. Type in the names of who you'd like to invite including guests.

    Note: People must already be members or guests of a team to be added to a private channel.

  6. Select Add.

    People you've added will see it appear in their channel list with a lock next to the name. And to see everyone that's been added to a private channel, select the Open people pane.

Share a file and Meet Now

  • When you share a file in a private channel, it's viewable and accessible only to people with access to the channel. These shared files live in a separate SharePoint site away from the standard channels. This ensure access only to members of the private channel.

  • To meet with just the people in a private channel, select Meet now.

IHQ Applications - Notes Transformer

The Salvation Army is an international movement and a global organisation.  As such it has a number of policies and regulations set by International Headquarters to assist the various territories in implementing their localised policies and procedures.  This includes Orders and Regulations, Guidelines and Reference materials.

Historically this was only accessible through the old Lotus Notes client, but recently IHQ have upgraded this to a new system called Notes Transformer.  It is important to note this system is solely for IHQ applications for now.

Notes Transformer can be accessed through your web browser.  This includes Orders and Regulations, IHQ Applications, Guidelines and Reference applications.  Further IHQ based applications will be added to this in the future. 

The URL is transformer.salvationarmy.org. ISG have added the link to the ISG Supportal My Links page, TSA Intranet Quick Links Menu and your salvationarmy.org.nz bookmarks in Chrome browser

When you get to the login page, click on the “Login with Microsoft” button.

 When you get into the system you won’t have any applications bookmarked. Click the “Bookmark an Application” button to add the applications you want to access.  You will only see the applications you have access to.
 

Click the check boxes to select the applications you want to add to your dashboard, or click “All” at the top, then scroll down to click “Save Changesat the bottom. This will add a link to each of the applications to your dashboard.  These will be remembered next time you log in.
 

If you know the specific application title, you can filter the dashboard by using the “Filter” field
 

Otherwise you can use the “Search…” field found on top left corner of window, using keywords for searching through all applications you have access to.

Work on a file together through Teams

Working in Microsoft Teams lets you work on files together at the same time. Also, messages about the document stay with it and will show up in your team conversations.

  1. In a team conversation or in the Files tab, select More options More options button next to the file.

  2. Choose if you want to edit the file in Teams, on your desktop, or online.

  3. Edit the file. Colored flags show who else is working on it with you.

  4. Select Start conversation to add a message about the file.

  5. Type your message or @mention someone and select Send.

Microsoft Teams and channels

In Microsoft Teams, teams are groups of people brought together for work, projects, or common interests.  Every Corps and Centre already have a Teams group set up for their location.

Teams are made up of two types of channels — standard (available and visible to everyone) and private (focused, private conversations with a specific audience). Each channel is built around a topic like "Team Events," a department name, or just for fun. Channels are where you hold meetings, have conversations, and work on files together.

The tabs at the top of each channel link to your favorite files, apps, and services.

Add a tab

  • Select the plus sign next to the tabs.

    For example, add Planner to create a project board for tracking team tasks.

Pin and unpin a channel

If you have a lot of channels, pin the most important ones to make them easy to find.

  • To pin a channel, choose one to pin and then select More channels > Pin.

  • To unpin a channel, choose one to unpin and then select More channels > Unpin, and to see what else you can do.
